This Privacy Statement explains how Villa Femos collects, uses and protects personal information when you use our website, make an enquiry, make a booking, stay with us, or contact us.
We aim to handle personal information clearly, carefully and responsibly.
Who we are
This website is operated by Villa Femos.
Villa Femos is operated by Mrs Emma Daglish as a sole trader.

For the purposes of data protection law, Villa Femos is the data controller for the personal information we collect and use directly.
What personal information we collect
Depending on how you contact us, book with us or use the website, we may collect and use:

- your phone number or WhatsApp number;
- your enquiry details;
- booking dates and stay details;
- party size and booking requirements;
- payment status;
- accessibility or mobility information, where voluntarily provided;
- information confirming that children in the party meet the minimum age requirement;
- correspondence with you by email or WhatsApp;
- guest review or feedback information, where provided with consent;
- limited information shared with our housekeeper, where needed for your stay;
- CCTV/security camera footage from outside areas of the villa;
- website usage information, where cookies or analytics tools are used.
We do not intentionally collect more personal information than we need.
How we collect personal information
We may collect personal information when you:
- contact us by email or WhatsApp;
- make an enquiry through the website;
- make a booking directly with us;
- book or enquire through a villa agency;
- communicate with us before, during or after your stay;
- provide a review or feedback;
- stay at Villa Femos;
- use our website.
How we use your personal information
We use personal information to:
- respond to enquiries;
- check availability;
- manage and confirm bookings;
- communicate with guests before, during and after a stay;
- keep booking records;
- manage deposits, balances and refunds;
- provide information needed for the stay;
- share limited arrival and contact details with our housekeeper where necessary;
- display reviews or guest comments where permission has been given;
- respond to questions, complaints or privacy requests;
- maintain website security and performance;
- understand how visitors use the website.

We only use personal information where we have a lawful basis to do so.

Contract
We use personal information where it is needed to respond to booking requests, manage bookings, receive payments, provide accommodation and communicate with guests about their stay.
Legitimate interests
We may use personal information where it is reasonably necessary for running the business, responding to enquiries, keeping booking records, managing guest communication, sharing essential stay information with our housekeeper, using guest feedback with permission, protecting the property and maintaining the website.
Legal obligation
We may need to keep certain information for legal, regulatory, tax, accounting or insurance purposes.
Consent
Where required, we rely on consent for non-essential cookies, analytics cookies and optional uses such as publishing guest reviews or using guest-supplied material.
Guest enquiries and correspondence
Guests may contact Villa Femos by email or WhatsApp.
Guest enquiry emails are kept in a separate folder. Enquiries from people who do not book are usually kept for around six months.
The enquiry inbox is accessed by Emma Daglish only and is protected by Face ID.
WhatsApp messages may also be used for guest communication and are usually kept for around six months.
Villa Femos does not keep separate notes about guest preferences, previous stays, repeat guests or suitability for future bookings.
Bookings and booking records
Bookings are completed manually by email or WhatsApp and are not completed online. Guests may book using whichever contact method they prefer.
Villa Femos may also receive bookings through a villa agency. The villa agency named in the owner answers is Scott Williams.
Confirmed booking records are stored in email/files. They are normally kept until the booking has taken place.
Villa Femos does not manually copy booking details from website enquiries into another separate system such as a diary, spreadsheet, calendar, accounts system or email folder.
Villa Femos does not keep records of cancelled bookings, declined bookings or guest issues unless there is a specific reason to do so.
Payments, deposits and refunds
The website currently mentions a 20% deposit, which has been confirmed as correct.
Deposits and balances are usually paid by bank transfer.
Villa Femos does not collect or store card/payment details directly.
Villa Femos has confirmed that payment records are not stored separately in email, bank statements, spreadsheets, accounting software or elsewhere.
Villa Femos does not use an accountant or accounting software that receives guest/payment information.
If a refund were needed, it would be processed by bank transfer, although Villa Femos has confirmed this has not been needed to date.
Villa Femos does not take or hold security deposits, damage deposits or good housekeeping deposits.
Guest records and notes
Villa Femos may keep guest notes outside the website enquiry/calendar system.
These may include information such as name, address, email, phone, stay dates, payment status, repeat guest notes, accessibility requirements or special requests, where appropriate.
These notes are stored securely and protected by Face ID. Access is limited to Emma Daglish.
Some guest information may be kept as needed, particularly as many guests return year after year. Guest notes should be reviewed periodically and kept only for as long as reasonably needed.
Newsletter and marketing
The website includes a newsletter sign-up, but Villa Femos has confirmed that it does not currently send marketing emails, offers, updates or newsletters.
If marketing emails are introduced in future, this Privacy Statement should be updated and appropriate opt-in and unsubscribe processes should be put in place.
Villa Femos does not currently upload guest or subscriber lists to Facebook/Meta, Google Ads or other advertising platforms and does not use remarketing or retargeting adverts.
Reviews and guest comments
Villa Femos may use reviews or guest comments on the website.
Reviews currently come from guest emails after a stay and are used only with the guest’s consent. Villa Femos has confirmed that permission is always obtained before using reviews from private emails.
Reviews may be published using the name details the guest is happy for Villa Femos to use. This may include no first name, first name only, or no surname, depending on the guest’s preference.
If a guest asked Villa Femos to remove or anonymise a review, this would be done.
Review correspondence and guest feedback are not stored separately from the booking record.
Guest photos, videos and photo blog
Villa Femos does not currently use identifiable guest photos or videos on the website, social media, printed marketing or adverts.
Guests do not currently send photos for possible use in marketing or on the photo blog.
Villa Femos uses its own photos.
If this changes in future, permission should be obtained before using any guest-supplied images, especially where a person can be identified.
Sharing guest information
Villa Femos may share limited guest information with the housekeeper where necessary for the stay.
The information shared is limited to:
- lead booker name;
- mobile number;
- arrival date;
- departure date.
This information is shared by WhatsApp.
Villa Femos has confirmed that only the minimum information needed is shared, and that villa staff or suppliers are told not to use guest information for any other purpose.
Villa Femos does not sell guest information.
CCTV and security cameras
Villa Femos has security cameras around the outside areas of the villa only.
Footage is kept for around 30 days.
The cameras are visible and not hidden. CCTV/security camera footage is used for security purposes only.
If CCTV footage is needed to investigate a security incident, access will be limited to those who need to review it.
Guest Wi-Fi and on-site information
Guest Wi-Fi is provided at the villa.
Villa Femos has confirmed that the Wi-Fi/router/provider does not collect guest names, email addresses, device details or usage logs.
Villa Femos does not collect vehicle registrations.
Villa Femos does not routinely collect dietary, allergy or food preference information.
Accessibility or mobility information is not requested, but guests may voluntarily provide this if relevant to their stay.
Villa Femos has a strict policy that children must be aged over 10, and does not otherwise request children’s information.
Google Analytics, Search Console and advertising
The website may use cookies and similar technologies.
Some cookies are necessary for the website to work properly. Others may help us understand how visitors use the website, for example through analytics tools such as Google Analytics.
Where required, non-essential cookies should only be used with your consent.
Google Search Console may also be used to help understand how the website appears in Google search results.
Villa Femos has confirmed that it does not personally access Google Analytics or Search Console reports, does not use analytics information for advertising or remarketing, and does not currently run Google Ads, Facebook/Meta Ads or retargeting campaigns.

How long we keep personal information
We only keep personal information for as long as reasonably needed.
As a general guide:
- Enquiry emails from people who do not book are usually kept for around six months.
- WhatsApp messages are usually kept for around six months.
- Confirmed booking records are usually kept until the booking has taken place, unless there is a reason to keep them longer.
- Guest notes may be kept as needed, particularly for repeat guests, but should be reviewed periodically.
- CCTV/security camera footage is usually kept for around 30 days.
- Guest reviews may remain on the website unless the guest asks for them to be removed or anonymised.
- Website analytics information, where used, is retained according to the settings used within the relevant analytics platform.
Villa Femos has confirmed that it periodically clears old emails, form entries, booking records, spreadsheets or marketing lists, and that paper records are not used.
When personal information is no longer needed, we will delete it, securely dispose of it, or anonymise it where appropriate.
How we protect personal information
We take reasonable steps to protect personal information from loss, misuse, unauthorised access or disclosure.
This includes limiting access to guest information, using secure devices/accounts, using Face ID where applicable, avoiding unnecessary data collection, and sharing only the minimum information needed with the housekeeper.
Your data protection rights
Depending on the circumstances, you may have rights over your personal information, including the right to:
- be informed about how your personal information is used;
- ask for a copy of personal information held about you;
- ask for inaccurate information to be corrected;
- ask for information to be deleted in certain circumstances;
- ask us to restrict how we use your information;
- object to certain uses of your information;
- withdraw consent where we rely on consent;
- ask for your information to be transferred in certain circumstances;
- complain about how your information has been handled.
